Terms and conditions of Keep Day-Off/Change Day-Off/Leave Online Program

Terms and conditions of Use program

1. This program use for Keep Day-Off/Change Day-Off/Leave only

2. For changing working hours Employees are required to write the form on paper. (Not from the program) for the department head to sign And send to the HR department as before

3. For requesting OT The department head will decide if Any employee will have to do OT after that they will have to fill out a form on paper. (Not in the program), then the department head to sign approval first. After that, the head of the department must submit the form to the General Manager (GM) for approval again. Before sending to the next HR department

4. Employees must keep their own passwords. Never disclose your password to other people. (If in doubt that someone else will know our password Employees can change the new password by themselves)

5. Employees are not allowed to key in the worksheet instead.

6. HOD is not allowed to give his / her own ID and password to employees. In order for employees to approve the Keep Day-Off and approve leave.

7. All employees are required to process the key to Keep Day-Off / Change Day-Off /Leave. To complete before the 18th of every month, otherwise it will be considered absent.

 

Keep Day-Off (OT Request)

1. Due to the limitation of the program that the developers of the program use, the menu name "OT Request" But Hansa Samui does not have OT Request in this program. So, OT Request (In menu of program) Use for Keep Day-Off Request only.

2. For Keep Day-Off at the Field "สะสมเป็น (Cumulative)" Staff must choose to change from "Paid" to "Leave" only. If you made a mistake and hit save. Staff must delete the worksheet. Then only new keys.

3. Deleting a Keep Day-Off Request Can be deleted before the head of the department approve only. If our worksheet is approved by the department head, it cannot be deleted. Must be contacted at the Human Resources Department only.

4. All employees are required to process the key to Keep Day-Off. To complete before the 18th of every month.

 

Leave Online (Leave Request)

1. Due to the limitation of the program that the developers of the program use, the menu name OT Request But Hansa Samui does not have OT Request. So, OT Request (In menu of program) Use for Keep Day-Off Request.

2. Leave request. Staff must key into the system of approval at least 7 days in advance, Assistant Manager and Manager must key into the system of approval at least 15 days in advance.

Otherwise, it will be considered absent from work without any exception.

3. All employees are required to process the key to Leave. To complete before the 18th of every month, otherwise it will be considered absent.

4. Deleting a Leave Request Can be deleted before the head of the department approve only. If our worksheet is approved by the department head, it cannot be deleted. Must be contacted at the Human Resources Department only.

 

Change Day-Off (OT Request + Leave Request)

1. Change Day-Off request There will be no menu that specifically asks for a key. Therefore need to modify the existing menu For use in requesting to change Day-Off Therefore, changing the Day-Off will require 2 menus to perform:

     1.1 Keep Day-Off first On the day we stopped But have to come to work at the menu "OT Request"

     1.2 After that, go to ask for leave By choosing a Reason "Leave Keep Day-Off" and put the reason at the remark "Change Day-Off from dd / mm / yyyy" on the menu "Leave Request".

     *Remark* dd/mm/yyyy Is the day we keep Day-Off . dd = Date (Is a 2 digit number), mm = Month (Is a 2 digit number), yyyy = Year (Is a 4 digit number) For example 05/08/2020 is 5 August 2020.

2. But assigning or changing Day-Off in a vacation record request will have an effect, After HR department approved first to take it to leave Therefore, Leave request will may be delayed. So there are 2 ways to fix it as follows.

     2.1 If in the right to accumulate leave Belonging to the vacation leave If we have the right to leave the same accumulated leave Let us use that accumulated leave date to use for goodbye After that, we kept the holiday key. If the HR department has approved it Holidays will accumulate for us. To be used in the next leave.

     2.2 But if anyone who does not have accumulated leave days Let us try to save the holidays first. When we click to save the letter of leave The system will confirm that "Leave over the right to leave" Do not care, press OK or OK after that, if our vacation collection request has been approved by the Human Resources Department. Holiday Collection Eligibility Will come to clear away the vacation that we leave the keys automatically.
